Volunteers

Meet set up:  Set up volunteers are responsible setting the pool deck.  

At the end of each lane should be:  3 plastic chairs, and 1 timing bag(With matching lane number) and an orange cone with match lane number underneath the swim block.  

Benches moved to staging area for swimmers to prepare for their races.   

Officials tote taken out and place in front of rolled up tarps for pool.  

Tables (2) set up next to pool house door for scoring table.


Announcer:  At a swim meet, the announcer plays a crucial role in keeping the event organized and engaging for both participants and spectators. Here's what the announcer typically does:  #1 Introduce events....1st call 13-14 girls Medley Relay, 2nd call boys 11-12 Medley Relay, 3rd call girls 11-12 Medley Relay. etc....#2 Mention our sponsors, as well as items for sale in our snack shack.  #3 announce the winner of the sportsmanship award.  #4 announce any emergency need (parked car needs to be moved, missing swimmer, etc...)

Place Picker: OR  place judge at a swim meet is responsible for determining the order in which swimmers finish a race. This role is especially important when:

  • Electronic timing systems are unavailable or malfunction.
  • A backup is needed to confirm results.
  • Hand out heat ribbons to whomever comes in 1st in heats 2, 3...and following.  Heat ribbons are not awarded to the 1st heat. If there is 1 heat of an event there is not heat ribbon given. 

Sorter:  Works with scoring.  Organizing slips that come in for score keeper. 

Stager:  OR Clerk of Course at a swim meet is the official responsible for organizing swimmers before they race and making sure they are in the correct heats and lanes.

Concessions:  Our concessions stand is our biggest fundraiser.  In the concessions stand you will be customer service, preparing orders, handling money, smiling non stop, and providing drink and food to our swimmers, parents and visiting teams.

Meet Officials:  (Trained position)

A Stroke and Turn Judge at a swim meet is responsible for ensuring that swimmers follow the correct techniques and rules for each stroke and turn. Their primary role is to uphold the fairness and integrity of the competition.  

  1. Watch Strokes
  • Make sure swimmers use the correct stroke (freestyle, backstroke, breaststroke, or butterfly).
  • Check Turns and Finishes
    • Make sure swimmers touch the wall correctly during turns and at the finish (like using two hands in breaststroke and butterfly).
  1. Report Rule Breaks
  • Raise a hand if a rule is broken.
  • Fill out a report and give it to the referee (only the referee decides on disqualifications).
  1. Be Fair and Focused
  • Stay alert, follow the rules, and don’t assume—only report what’s clearly seen.
  1. Work with Other Officials 

The starter is an official responsible for ensuring that every race begins fairly and according to the rules. #1 calls swimmers to the starting position. #2 Ensures a fair start   #3 Intiates the start  #4 Detects False Starts  #5 works with the meet refree. Trained Position

The whistle blower (referee) uses whistle signals to:

  • Organize swimmers before a race
  • Ensure everyone follows the proper pre-start protocol
  • Maintain the flow and order of the competition

Their role is essential for clear communication, safety, and keeping the meet running smoothly. Trained Position

Runner:  the runner is a volunteer or official responsible for collecting and delivering paperwork between different parts of the meet operation. While it may sound simple, it's a critical role that helps keep the meet running smoothly and efficiently.

Timers and Writers:

Timers will have 1 Time Drops Fob and a manual stop watch.  Timers will start the manual stop watch when the starters light (prob) goes off and stop the Time Drops Fob AND the manual stop watch when the swimmer touches the wall.  

Writer will verify the swimmer (s) name in the lane to swim and have a Time Drops Fob.  The writer will stop the Time Drops Fob when the swimmer touches the wall to end the race and then record the times on the manual stop watches on the clipboard. 

Head Timer will have multiple manual stop watches.  When someone forgets to start their watch you will replace their watch with a running watch that you started at the race start. 

Meet Tear Down:

  1. Take chairs from the end of the lanes and stack in storage closet.  
  2. Timing bags get hung up in numerical order in storage closet. 
  3. Orange cones get stacked and put on top of the stack of plastic chairs
  4. Put benches from staging area back along fence line.
  5. Bathroom floors in poolhouse are inspected and picked up, as well as garbages emptied and garbage liners replaced.  
  6. Outside bathroom is checked, garbage picked up and garbage can emptied and liner replaced.  
  7. Garbage cans in park emptied and liners replaced.  All garbage goes in dumpster at the end of the driveway to concessions stand. 
  8. Help take concessions supplies back to storage closet if needed.
